Job description
The Assistant Manager - Facilities is responsible for overseeing theday-to-day maintenance, repair, and efficient operation of buildings, grounds,and equipment. This role supports the Facilities Manager by ensuring a safe,clean, and well-maintained environment for employees and visitors. TheAssistant Manager will also coordinate vendor management, adhere to budgetaryconstraints, and promote sustainability practices within the facilities.
Key Responsibilities:
- Facilities Maintenance:
- Assist in planning and executing maintenance and repair schedules for buildings, grounds, and equipment.
- Conduct regular inspections to ensure facilities meet health, safety, and environmental standards.
- Manage preventive maintenance and handle emergency repairs efficiently.
- Vendor and Contractor Coordination:
- Coordinate with external contractors and vendors for repairs, maintenance, and upgrades.
- Oversee vendor work quality and compliance with contractual agreements and safety protocols.
- Evaluate and negotiate vendor contracts to optimize quality and cost-effectiveness.
- Budget Management:
- Support the Facilities Manager in developing and managing the facilities budget.
- Track expenses and assist in budget forecasting for maintenance, repairs, and upgrades.
- Monitor inventory and manage the procurement of facility-related supplies within budget limits.
- Health and Safety Compliance:
- Ensure compliance with occupational health and safety regulations.
- Implement and monitor safety protocols and emergency response plans.
- Conduct safety training sessions for staff as required.
- Space and Resource Management:
- Assist with office space planning and optimization.
- Oversee furniture and equipment moves and setups.
- Coordinate with other departments to ensure that facilities meet their functional needs.
- Sustainability Initiatives:
- Support sustainability initiatives to reduce the environmental impact of facilities.
- Identify and implement energy-saving measures and promote waste reduction practices.
- Emergency Preparedness:
- Assist in developing and maintaining emergency response plans.
- Coordinate drills and training for emergency preparedness.
- Team Supervision:
- Supervise a team of maintenance staff, custodians, and other facility personnel.
